Terms of Use

1. Scope of Services
These Terms of Use (the "Terms") govern all services provided by Valid Translations ("we," "us" or "our") to its clients ("you"): certified translation, technical translation and subtitling in Portuguese, English and Spanish; English Editing; and sworn translation. Sworn translation is provided exclusively for use in Brazil and is not available in Spanish.
These Terms apply to all of the services listed above. Where a provision applies to a specific service only, the relevant section states so.
Approval of a quote by any means, including by email or written message, constitutes confirmation that you have read and accepted these Terms.
2. Quotes and Approval
All services are preceded by a quote setting out the scope, price and deadline. No service will begin until you have expressly approved the quote.
Certified translation and technical translation are priced per standard page of 1,000 characters excluding spaces (the Brazilian lauda). Subtitling is priced according to the duration of the video or audio. English Editing is priced according to the volume and condition of the file received. Sworn translation is priced at the rate charged by the public translator responsible for the act. Each quote specifies the applicable pricing basis.
The price reflects the complexity of the material, including tables, seals, handwritten text, dense layouts, technical or legal terminology, poor audio quality and files that are difficult to edit.
Quotes are valid for 15 calendar days. After that period, the price may be recalculated.
3. Payment
Payment in full is required before work begins. Upon confirmation of payment, work commences and our schedule is reserved to meet the agreed deadline.
The final file and, for certified translations, the signed Affidavit of Translation are delivered upon completion of the work. Any preview provided before completion is for review purposes only and may not be used.
For large projects, payment may be made in installments, as specified in the quote.
Accepted payment methods are listed in the quote. Overdue amounts may be adjusted for inflation and will accrue interest at 1% per month.
4. Cancellation and Withdrawal
If you cancel before payment is confirmed, no charge applies.
If you cancel or withdraw within 5 business days after payment is confirmed, you are entitled to a refund of 50% of the amount paid. The remaining 50% compensates for work already performed and for the reserved schedule, which could not be allocated to another project, and is non-refundable.
If you cancel or withdraw more than 5 business days after payment is confirmed, no refund is due, as the project is then substantially under way and the schedule reservation has already affected our other commitments.
Upon request, we will deliver the portion of the work completed as of the date of cancellation, in its current state.
Abandonment of the project is treated as withdrawal. A project is considered abandoned when you fail to respond or to provide essential information for more than 30 calendar days after our last request. The refund rules above apply, based on the time elapsed since payment was confirmed.
5. Deadlines
Deadlines are set individually for each project, as volume, complexity and format vary from case to case; no fixed schedule applies. The deadline is always stated in the quote before approval. For sworn translation, the deadline also reflects the availability of the responsible public translator.
The deadline begins to run once payment has been confirmed and all files have been received in legible and complete form.
The deadline is suspended until the matter is resolved if files are illegible or incomplete, if files are replaced during the work, or if information remains pending.
We are not liable for delays caused by unforeseeable events or force majeure, and we will notify you of the revised deadline as soon as possible.
6. Changes in Scope
An approved quote is fixed for the approved scope. Additional pages, new documents, replacement of the original file, or a change in purpose or delivery format constitute a change in scope.
Any change in scope requires a supplementary quote, which we will send before performing the additional work and which is subject to your approval. The deadline may be adjusted accordingly.
A request for expedited delivery made after work has begun may be subject to a surcharge, which we will communicate in advance.
7. Compliance Guarantee
We guarantee the correction, at no additional cost, of any error attributable to us, including translation errors, typographical errors, and errors in numbers, dates, proper names, formatting or subtitle timing.
For certified translations, if the receiving institution identifies a formal requirement relating to the translation or to the Affidavit of Translation, we will correct and reissue the document at no cost. For sworn translations, the correction of any error attributable to us is arranged with the responsible public translator, also at no cost to you.
This guarantee does not cover: the institution's decision on the merits of your case; requirements relating to the original document, which are the responsibility of its issuer; changes in stylistic preference; changes in the institution's requirements after delivery; or files altered by third parties after delivery.
Correction requests must be submitted within 30 calendar days of delivery.
8. Revisions
After delivery, you may request the correction of proper names, numbers, dates and official spellings at no cost, within the period set out in Section 7.
For certified and sworn translations, the content cannot be changed: the translation must faithfully reproduce the original document, even where the original contains an error. Any discrepancy in the original document must be corrected by the authority that issued it.
Rewrites based on stylistic preference fall outside the approved scope and are treated as a new service.
9. Client Responsibilities
You must provide legible and complete files in their final version and inform us of the purpose of the translation and the receiving institution, as these determine the appropriate format of the work.
You must hold the rights necessary to use the files you submit. You are solely responsible for the origin and lawfulness of the content submitted and are liable for any third-party claim relating to it.
You must review names, dates and numbers upon delivery and report any discrepancy within the correction period.
You may not request the translation of unlawful, fraudulent or altered content. If such content is identified, we may refuse or immediately discontinue the service, without refund of any amounts already paid.
10. Limitation of Liability
Our liability is limited to the fidelity and accuracy of the delivered work in relation to the original document you provided and, in any event, to the amount actually paid for the service.
We do not guarantee the authenticity of the original document and are not responsible for the truthfulness of the information it contains.
We are not responsible for the outcome of any administrative, judicial, academic or immigration proceeding in which the work is used, nor for the deadlines, fees or requirements of receiving institutions.
We are not liable for lost profits, loss of opportunity or indirect damages arising from the use of the delivered work.
We are not responsible for changes made to the file after delivery or for any use of the work for a purpose other than that stated in the quote.
11. Ownership and Use of the Work
Upon full payment of the agreed amount, you may use the final file for the stated purpose.
Until full payment is received, the work produced remains our property, and previews provided for review do not authorize you to use, publish or present them to third parties.
The content of a certified translation, an Affidavit of Translation or a sworn translation may not be altered after delivery. Any modification by third parties invalidates the certification or the public faith of the act and releases us from any liability.
12. Confidentiality
All materials you send us are treated with professional confidentiality and used solely to provide the requested service.
If the work requires a legally qualified professional in addition to the responsible translator, we will inform you before work begins, and that professional is bound by the same duty of confidentiality.
Your files are never entered into public machine translation tools or used to train artificial intelligence systems.
Personal data is processed as described in our Privacy Policy, in accordance with Law No. 13,709/2018 (the Brazilian General Data Protection Law, LGPD).
13. General Provisions
Our tolerance of any breach of these Terms does not constitute a waiver of our right to require compliance at a later time.
If any provision of these Terms is held invalid, the remaining provisions remain in full force and effect.
We may amend these Terms at any time. The current version is the one published on this page, and each project is governed by the version in effect on the date the quote is approved. Last updated: September 22, 2026.
These Terms are governed by the laws of Brazil. Before initiating any legal proceedings, the parties will seek an amicable resolution.
