1. Data Controller
This policy applies to the website validtranslations.com and to the translation services provided by Valid Translations, the controller of your personal data. For sworn translations, the responsible Public Translator and Commercial Interpreter signs the act and is named on the document itself.

2. Data Collected
Contact details provided in your quote request: your name, email address and phone number.
The content of the documents you send us for translation. These may contain personal data such as name, parents' names, date of birth, ID number, marital status, address, and financial or academic information. Some documents also contain sensitive personal data, such as health information.
Documents of children and adolescents, such as birth certificates, sent by their parents or legal guardians.
When analytics is active (section 9), we record your landing page, the referring domain and the campaign parameters (UTM) in the link used to reach the site. If you consent to ad measurement, we may also record the click identifier. This information is attached to your request to identify its source. Your name, contact details and documents are never sent in analytics events.
Technical browsing data, such as IP address, device type and pages visited, collected by analytics tools (Google Analytics). In the European Union, the European Economic Area, the United Kingdom and Switzerland, this happens only if you consent to cookies. In all other countries, including Brazil, aggregate measurement starts when you visit the site, and you can decline it at any time in the cookie notice.

Understanding how the site is used, in aggregate form, so we can improve it. In the European Union, the European Economic Area, the United Kingdom and Switzerland, we do this only with your consent to analytics cookies.
4. Legal Basis
We process your contact details and the content of your documents on the basis of performance of the contract between you and Valid Translations, under Article 7, V, of Law No. 13,709/2018 (the Brazilian General Data Protection Law, LGPD).
When a document contains sensitive personal data, we process it on the basis of the regular exercise of rights in contracts and in administrative or judicial proceedings (Article 11, II, d, of the LGPD).
When you send us a document of a child or adolescent, you consent, as parent or legal guardian, to our processing that data for the purpose of your request (Article 14, § 1, of the LGPD).
We run an anti-bot check on the form based on our legitimate interest in protecting the site and the documents we receive from abuse (Article 7, IX, of the LGPD).
We rely on your consent for aggregate site analytics in the European Union, the European Economic Area, the United Kingdom and Switzerland. In Brazil and in all other countries, we rely on our legitimate interest in improving the site (Article 7, IX, of the LGPD), and you can decline analytics at any time in the cookie notice. Ad measurement always requires your consent.
We keep tax records to comply with a legal obligation.
5. Data Sharing
We do not sell or rent your data or provide it to third parties for their own use.
Only the professionals working on your project can access the documents you send us, and all of them are bound by a duty of confidentiality. If your service requires a legally qualified professional in addition to the responsible translator, we tell you before the work begins.
To run the site and answer your requests, we use providers that process data on our behalf and only for that purpose: Cloudflare (site hosting, receiving the form and anti-bot verification), Resend (email delivery of form requests, which keeps message content for up to 30 days), Hostinger (email inbox) and Google (Analytics and, when enabled and authorized, ad measurement). In the European Union, the European Economic Area, the United Kingdom and Switzerland, Google receives analytics data only if you accept cookies.
Some of these providers process data outside Brazil, mainly in the United States. This transfer is necessary to provide the service you request (Article 33, IX, together with Article 7, V, of the LGPD).
We may share data when a court order or a competent authority requires it.
6. Data Retention
We keep original documents and translations for 30 days after delivery, the same period as our correction guarantee, and then permanently delete them. We keep the files only while we may still need them to correct or reissue your document, in line with the necessity principle of the LGPD.
For sworn translations, the responsible public translator keeps a record of the act in his or her own register, as the profession legally requires. That record belongs to the translator. It does not replace or extend the period above, which applies to the files we hold.
We keep contact details and contract records for as long as tax and civil law require, even after we delete your files.
You can ask us to delete your files earlier at any time, unless the law requires us to keep them. Deletion is permanent, and once your files are deleted we can no longer reissue the translation.
7. Data Protection
Access to documents is limited to the professionals working directly on your project, all of whom are bound by a duty of professional confidentiality over the content entrusted to them.
We do not enter your files into public machine translation tools or use them to train artificial intelligence systems.
We keep documents and translations only for the period described in section 6 and permanently delete them when it ends.
8. Your Rights
Under the LGPD, you have the right to confirm that we process your data, access it, correct incomplete or outdated data, request anonymization, blocking or deletion, request portability, withdraw your consent and obtain information about who we share your data with.
To exercise any of these rights, write to [email protected]. We will respond within 15 days.
9. Cookies
The site uses essential cookies and local storage, which the pages need to work and to remember your cookie choice. It also uses analytics cookies and ad measurement cookies. We activate ad measurement cookies only with your authorization in the cookie notice. Analytics cookies require your authorization in the European Union, the European Economic Area, the United Kingdom and Switzerland. In all other countries, including Brazil, they start when you visit the site, and you can decline them at any time in the notice. When ad measurement is enabled, you can authorize analytics only, or both categories. While analytics is active, we store the source of your visit for the duration of your session, and we erase it from your browser if you decline analytics or withdraw your choice.
You can decline these cookies without losing access to any feature of the site, and you can change your choice at any time using the Cookie Preferences link in the footer.
The quote form uses Cloudflare's anti-bot verification (Turnstile). It analyzes technical browser signals only to tell people from automated programs, and it is not used for advertising.
